Quotes going cold? How to chase them, politely.

The short answerFollow up two or three days after you send a quote. Mention the job, keep it to three lines and give an easy yes or no. If there is no reply, chase again after a week, then close it off. An AI assistant can spot quotes with no reply and draft each message for you to check.
The problem

Why quotes go quiet.

  • The customer is busy, not saying no
  • They're comparing two or three quotes
  • They have a question but haven't asked
  • You meant to chase, but the week got away

A quote nobody chases is often a job lost by default.

The fix

A simple chase timetable.

  • Day 2 or 3A gentle nudge. Check they got it and offer to answer questions.
  • Day 7A second chase. Make it easy to say yes, or no.
  • Day 14Close the loop. Say you'll assume it's a no for now.

This is a suggested pattern, not a rule. Use what suits your customers.

Copy and paste

Three messages you can send today.

1. Gentle nudge

Hi [name], Just checking the quote for [job] came through OK. Happy to answer any questions. Thanks, [your name]

2. Second chase

Hi [name], Are you still thinking about [job]? If you'd like to go ahead, just reply yes and I'll pencil in dates. Thanks, [your name]

3. Closing the loop

Hi [name], I haven't heard back, so I'll assume now isn't the right time for [job]. If that changes, just reply and I'll pick it up. Thanks, [your name]

Let AI draft them

How to get AI to do the chasing.

A prompt to try today

Look at the quotes I've emailed in the last 14 days. List any with no reply. For each, draft a short, friendly follow-up in UK English, under 60 words, mentioning the job. Don't send anything.

Making it regular

With the Gotts AI Set-up, your assistant does this every Friday. It drafts the chases. You check them and press send. More ready-made prompts are on the free prompts page.

Avoid these

Mistakes that lose the job.

  • Chasing the same day you quoted
  • Long messages that bury the question
  • Sounding annoyed about no reply
  • Never closing the loop, so it stays on your mind
